Let’s be honest… even with the best intentions, meetings can drift. People talk over each other, actions disappear into the ether, and sometimes you walk out thinking, what on earth did we actually decide?
That’s why I’ve completely fallen in love with Facilitator, one of the newest additions to Microsoft Teams, and honestly, I think one of the most helpful. Think of it as the calm, quietly organised cochair we’ve all secretly wished for. It keeps the conversation moving, captures what matters, and makes sure the meeting you planned is the meeting you get.
After months in preview throughout 2025, Facilitator became fully available for Microsoft 365 Copilot customers later that year, and it’s already transforming how teams run meetings.
🌟 So… what exactly does Facilitator do?
Quite a lot, actually! And all of it is designed to make meetings feel smoother, more structured, and more collaborative, without adding additional admin for you.
Here’s what you’ll notice right away:
📝 It takes shared, realtime notes
No more “Who wants to take minutes?” followed by deafening silence. Facilitator creates a living notes page that everyone can see and contribute to, right there in Teams.
⏱ It helps keep the meeting on track
If you’ve added an agenda, it’ll spot it instantly. No agenda? It’ll gently prompt you to set one. During the meeting, you’ll see timed topics, nudges when you’ve hit the halfway mark, and a friendly reminder when it’s time to wrap up a discussion.
💬 It answers questions in the chat
Need a quick recap? Want to check a fact? You can @mention Facilitator and it’ll respond in the chat for everyone to see. It’s like having a meeting assistant who never interrupts the conversation.
✔️ It captures actions and next steps
Facilitator can collect tasks, decisions and follow-ups as you go, and in some tenants, even send them straight into Planner or draft documents in Word or Loop (these specific features are still rolling out in preview).
🏢 It works beautifully in meeting rooms too
If you’re in a Teams Room, Facilitator brings its magic to the big screen, notes, timers, chat, the lot. For in person, off-the-cuff discussions, you can even start an ad hoc facilitated session using a simple QR code.
📍 Where all your notes go
Everything Facilitator records is saved neatly as a Loop file in the OneDrive of whoever switched it on. After the meeting, you’ll find it all under Recap → Notes. Super tidy. Super easy.
🤔 How is this different from Copilot in Teams?
Great question👍because they sound similar, but they serve different purposes:
The two play brilliantly together, like two sides of the same helpful coin.
⚡ Quick Start Guide
Here’s how to get going without overthinking it:
Before your meeting
During your meeting
⚠️ Facilitator only works in scheduled meetings, not channels, not quick calls.
🎯 My go to “Facilitated Meeting Flow”
I use this in client sessions and internal training, and it works every time:
💡 Trainer Tips (from running this in real organisations)
⚠️Governance & Guardrails
This is the bit customers always ask:
❓ FAQ (the real-world questions people ask)
Can guests see the notes?
Mostly no – Facilitator is intended for internal participants.
Is Facilitator on by default?
The app is allowed by default in most tenants, but you still need to turn it on per meeting.
Why can’t I see it?
Usually one of these:
Can I use it in an unplanned room meeting?
If there’s a Teams Room device, yes! Just scan the QR code to begin.
✅ A Closing Thought on Your New Meeting Buddy
Facilitator is honestly brilliant — it brings order, clarity, and a real sense of calm to meetings that could otherwise drift into chaos. But as clever as it is, it’s not magic. It won’t catch every single detail, so it’s always worth taking a moment at the end of your meeting to skim the notes and doublecheck the actions, just to be sure nothing important slipped through.
The lovely surprise? Most of the time you’ll find it captured far more than you expected.
And that’s the thing: Facilitator isn’t just another shiny Teams feature. It’s a genuinely helpful support tool that makes meetings smoother, more focused, and far less stressful — but like any tool, it works best alongside your own experience and judgement.
If you haven’t tried it yet, I really recommend giving it a go. And if you have, I’d love to hear how you’re using it! Drop me a note or share your favourite tip.
